School Hours:

    The normal school day is from 8:30 a.m. until 3:00 p.m.  Due to traffic at the elementary school across the street, we request that students not arrive between 8:30 a.m. and 9:00 a.m. or leave between 3:15 p.m. and 3:45 p.m. This is for your convenience, safety and to reduce traffic problems.
 

Delayed Openings or Early Dismissals:

    For delayed openings due to weather, we will be following the Stafford School System.  For other delayed openings and all early dismissals,  parents will be contacted by the school. Please advise the school as to the amount of notice you require.
 

Closing for Inclement Weather:

 The school follows the Stafford County School System, unless otherwise notified. Announcements are made on the following radio stations:

     The School will contact each parent by phone in the event that the school must be closed for any other reason.

Late Arrivals:

     Please notify the school if your child will be arriving after  8:30 a.m. We worry.

Absenteeism:

    Please notify the school if your child will be absent. The school will contact the parents of any child who is absent without notification.

Illness/Injury During School Hours:

    The school staff is trained in First Aid.  If your child is ill or has suffered an accident at school, the staff will render First Aid.  You will be notified immediately for any serious situation and at the time of pick- up for all minor occurrences. The staff will not treat your child except for First Aid.  Please make sure we have the correct and latest information.  Colonial Preparatory School or the staff shall not be held liable for any injury that occurs to any student at school or on field trips. ALL STUDENTS MUST HAVE ACCURATE EMERGENCY CONTACT INFORMATION

Medications:

    Any and all physician prescribed and non prescribed  drugs that must be administered  during school hours  can be given (a) by having your doctor sign the Medication Request Form (CPS Form-1014) or (b) by coming to school and administering  the medication personally.  We will not give Injections.  We encourage the administration of  any medications at home.
 DO NOT send any  unmarked medication to the school (i.e. two white pills in a plastic bag).  Do not instruct students to take any medication on their own.  For example, do not send aspirins and tell your child to take them as needed. All medications are kept by the staff and administered by an adult.  Any medications found in students possession will be confiscated immediately and turned over to the parent.

Head Lice:
    Students may be checked periodically for Head Lice. We will call parents to pick-up any student found with them, for immediate treatment. The student may not return to school if any Nits are present.

 Phone Calls:

     A parent  who wishes to speak to a teacher by phone should call and leave a message for the teacher. During the day, the teachers have teaching  responsibilities and will return your call after dismissal. Do not use the house phone number for school business. Please, restrict your calls to not later than 8:00p.m. If your call is not answered please leave a message.  Phone calls to students are discouraged, but if the need arises, leave a message and we will summon the student and return the call immediately. Students will only be allowed to make phone calls in cases of emergency. Un-remembered homework or forgotten lunches do not constitute an emergency. Student’s Cell phones will be turned off during classes. Students may check for messages during lunch or after school. Students are not allowed to use a cell phone or other any device to record or photograph other students or teachers without their express permission.

Appropriate Dress for Students:

    There is a formal dress code for the school. We request that students be neat, clean, and well groomed.  We recommend that sneakers be worn for Physical Activities. We request that each student bring a pair of shoes( i.e. sneakers, slippers, moccasins, etc.) to be worn inside during inclement weather or muddy playground conditions.

Pants
    Pants that are frayed, excessively baggy, dirty, dragging the floor, or have hanging straps are not permitted. Pants must remain above the hip on their own or be held in place with a belt.

Shorts, Skirts, and Dresses
    Very short form-fitting skirts, shorts and dresses are not permitted. Skirts, shorts, and dresses must be of mid-thigh length (tested by standing with arms at the side and measure clothing against the fingertips).  Spaghetti strap dresses or halter tops are not permitted. Sleeveless dresses are permitted provided that undergarments are not visible. Side or back slits on skirts, shorts, or dresses must not extend above mid-thigh.

Shirts
    Bare midriffs, crop tops, spaghetti strap tops, and form fitting tops are not permitted. Sleeveless tops are permitted provided the are 2 inches thick and undergarments are not visible, Fronts of shirts must cover cleavage. Backs of shirts cannot be bare. Whether girls are standing or sitting, shirts must meet the top of the pants, shorts, or skirts. Girls are permitted to wear transparent tops provided an appropriate sleeveless top is worn underneath. Shirts with logos are permitted provide the logo is appropriate for school.

Accessories
    Chains may not be for any reason. Hats may not be worn in the building at any time. Excessive jewelry is highly discouraged.
 

Fire Drills:

    Fire drills will be held periodically. Teachers will instruct students on proper behavior and procedures.

School Sponsored Field Trips:

     All students will be required to have a signed permission slip to participate in field trips.  Each student will receive a notice stating the date, destination, purpose, and costs. The costs (i.e. admission, transportation, etc. ) will be the responsibility of the student.  Under no circumstance shall any student participate in a field trip without parental consent.  Students shall conduct themselves in appropriate manner and stay with the group.

Parental Participation as Drivers and Chaperones on Field Trips:

    We encourage parent participation on field trips. These trips are usually a rewarding  and  interesting experience for all involved.  Parents who participate as drivers must have appropriate insurance on their vehicle. All  parking fees and tolls  will be paid by the school. You are responsible for the conduct of your children.

Textbooks and Supplies:

    Students are provided all necessary textbooks,  workbooks and consumable supplies (i.e. paints, drawing paper, etc. ), excluding writing paper, graph paper, pens and pencils.  Students are responsible for obtaining and maintaining the items on the Supply List. Data sticks are to be used in lieu of floppy disks. Textbooks/Reading books are the property of the school and are to be turned in at the end of the year.  Students are responsible for the care of their books and will be charged for lost or damaged books.

Students Transferring Out:

    Parents  who are moving or wish to transfer their students to another school must notify the school  two (2) weeks prior to departure. CPS monitors the curriculum of the local school systems to ensure compatibility between schools. The school staff  will copy the student file and provide any assistance to make the transfer as smooth as possible. Tuition will be refunded (prorated) for Military Orders.

Students Transferring  In:

    The school will assist parents of new students in obtaining previous records by making available the Student Record Release Form (CPS Form-1013).  The school will obtain the new student's textbooks and workbooks.  Each new student will be assigned a student sponsor to assist in the adjustment process. It is our desire to make this transition as pleasant as possible.

Parent Volunteers:

    Parent volunteers are  always welcomed!  Volunteers assist in the classroom and will be under the guidance of the teacher.  We need volunteers for crafts, plays and special projects announced during the school year.

Parental Visitations:

    We welcome and encourage parents to visit the classroom.  We request that visits be previously arranged with the teacher to minimize disruption.  Please do not interrupt a lesson in progress.

Bringing/Picking Students Up:

    Please do not pull in the driveway. We have had too near misses on the way out. Please pull your car completely off the road, so as not to impede the flow of traffic.  Do not block the driveways. Students will only be released to the person(s) listed in the Student Information File.  If for any reason someone else is to pick-up the student, or he/she is to ride with another student,  please notify the teacher when the student is dropped off or give us a call.  We encourage the use of Passwords.

Non-Discrimination Policy:

    Colonial Preparatory School does not discriminate on the basis of sex, race, color, religion, or national origin in its hiring or educational programs and activities.

Lunches:

    The school does not provide lunches.  A microwave oven is  available for use by the students to warm-up their lunch.  We would like to remind you that lunch times are limited and therefore; we request parents to consider the time requirements when
selecting microwavable meals. A refrigerator is also available. Drinks may be consumed during lunch and morning break.  No food or drink is permitted in the Computer Area. The electronics don’t like it and neither does the keyboards

Student Grades and Report Cards:

    Papers are not graded daily, but as time permits and will be returned after the grades are recorded. The Grading Scale is as follows:

    Interim Reports will be sent home at mid grading period and Report Cards go out every  6  weeks (see Calendar for Dates).  A parent conference will be scheduled after each grading period.

Class/Homework:

    Homework and various Reports/Projects will be assigned as required, to enhance or reinforce the lessons.  The assignments should take a student about an hour to complete.  Ample time (for the grade level) will  be given to complete all reports and projects.  It is the responsibility of  the student to complete all assignments and turn them in on time.  Excuses will not be accepted.  Notify your teacher if you need assistance and/or clarification. We encourage parental guidance and assistance in projects but let the student do the work. Students may be required to memorize certain formulas and constants (i.e. perimeter, area, volume, PI, etc.). Students are expected to know common arithmetic facts (addition and multiplication tables)

Class Assignment:

    We are a small school and do not have the facilities to accommodate separation by grade.  All students will be assigned to one class until such time that the class population increases to about 15-18, thus justifying another teacher and classroom.  It is our intention to maintain a teacher/aide to student ratio of approximately 1 to 10.

Clubs and Organizations:

    Minimum  size for clubs and organization will be five (5). Clubs will determine their own operating procedures and have a teacher advisor. Clubs and organizations shall be in the interest of learning and to show credit upon the school and its members.

Personal Items:

    Items such as in-line skates, skate boards, etc. are not be permitted on school grounds, due to insurance.  Students are responsible for their own belongings, such as coats, boots, umbrellas, etc.  Items left at school will be retained until either claimed or until the end of the year.  All unclaimed items will be donated to the American Veterans Association.

Library Cards:

    Each student, is required to have a library card for the Central Rappahannock Regional Library. Please, give the his/her card number to the school, so books may be renewed as necessary. The student will be responsible for returning all library books on time and any fines or penalties on their personal card. The students go to the library every two (2) weeks for research projects. Students may search the card catalog and place books on hold via the internet ( http://www.librarypont.org ).

Computers:

    Computers are electrical machines and do not like liquids therefore, food and/or drinks at the computer stations is prohibited.  Please make sure your hands are clean (no paint or stickiness). We encourage students to wash their hands before and after using the computers. The use of the INTERNET is supervised. Parents will be notified of any misuse. These systems are excellent educational tools and their use is highly encouraged.  Computers are to be used to enhance our research capabilities.  Playing of games, music, or Instant Messaging, on the computers or laptops is with express permission only.

Personal Computers (Laptops):
 Laptops are allowed for taking notes and working on projects. The School is not responsible for them. Students are responsible for charging batteries at home (not at school). Headsets may not be used except at lunch or with express permission.  Homework assignments shalled be printed and turned-in per assignment  instructions (saved on a laptop is not complete). Illegal downloading of files from the school network or the internet is strictly prohibited. The laptop will be confiscated and wiped clean!!

Email:

    The director's email address is “linda@colonialprep.org”.  The Web Master’s address is “russ@colonialprep.org”  Web-based  accounts (20 MB) are provided for each student. Students may access their email at http://webmail.colonialprep.org . Parents may request auto-forwarding of their child’s email, provide the email address.

Internet Access:

    The Internet is an immense and growing network of millions of computers and networks.  The system is not operated or controlled by any individual, group or agency.  It is a collective effort with the purpose of providing access to information. Users number in the billions.  Information of all types is readily available to all the users.  Some of the information is controversial and/or offensive in nature.
    Colonial Preparatory School is currently connected to the Internet.  Access is available for both students and teachers.  We believe that this unique resource offers much needed diversity to education.  Our goal is to use this resource to the advantage of the students and staff members.
    Because access to the Internet provides connections to other computer systems located globally, teachers, students and parents must understand that all material available is not appropriate for school.  Parents must also understand that the staff has no control whatsoever of the content of the Internet.
    Teachers and students will be using the Internet for special projects and to communicate with groups and individuals around the world. We do not block access to any information; instead we use a honor system and monitoring  to ensure that students do not view inappropriate material.  Access to the Internet is a privilege not a right. The user must display responsible use of this resource. Students are required to have a Internet Access Consent form (CPS-1021) on file to have access to the Internet.

Awards:

    The award program is designed to encourage students to made superior efforts and to recognize students for their efforts. The Medals will not be given lightly and will required clearly exceptional effort from the student.
Legion of Merit

Description:  Program to encourage community and school service. Students, who have clearly shown exceptional meritorious actions or service, are inducted into The Legion of Merit.

Criteria:
1.) Conduct that is of a clearly exceptional nature.
2.) or Completion of an exceptional Community Service Project with clear benefit to the community.
3.) or Completion of an exceptional School Project with clear benefit to the school and/or students.
4.) Efforts of a superior nature are insufficient for this award. No more than one award may be received in a given year.

Levels:
 1.) First award (Medal w/o device) Legionnaire
 2.) Second Award (Medal w/ Bronze Star) — Officer
 3.) Third Award (Medal w/ Silver Star) — Leader

Meritorious Achievement Medal

Description:  Program to encourage outstanding work. Awarded to students, who have clearly shown outstanding  and above grade level work on a project.

2.) or Completion of an Outstanding Community Service Project.
3.) Efforts of a superior nature are insufficient for this award. No more than one award may be received in a given year.

Student of the Month

     Each month a students who has shown superior work/ effort will be named “Student of the Month” and receive a certificate and privileges.
 Privileges include. but are not limited to, first in line, team captain, etc.

Certificates

 The teacher shall award various certificates to students for excellent performance and/ effort.

The Code of Conduct at Colonial Preparatory School is very simple:

 “Be kind and courteous to others and always show respect for oneself and others.”

    The responsibilities of  the student, teacher, and parent are great. You, the student, have the responsibility to attend  classes regularly and punctually and take full advantage of the programs and materials offered. You also have the responsibility to help any other student in anyway you can. The teachers have the responsibility to reflect a personal enthusiasm for teaching and a genuine concern for the students.  The teachers have the further responsibility to be fair, firm, and consistent in the enforcement of school rules and  regulations.  The parents responsibilities are no less demanding. You have the responsibility to insist that your child is clean, dressed, and prepared both physically and mentally to attend classes. You have the further responsibility to instill in your child a desire to learn; encourage a respect for honest work and an interest in exploring broader fields of inquiry. As you can see the student is just one side of the triangle of education and just remember that “ One Never Stops Learning”.

The following is a list of Rules and Corrective Actions. These rules are for the purpose of promoting an environment consistent with the proper education of young adults.

Rules of Conduct
 1. Students are required to be present in all assigned classes, except with the permission of the instructor.
 2. Students shall not possess, deliver, use, or be under the influence of alcoholic beverages.
 3. Amorous behavior is not permitted on school property.
 4. Students shall not commit or attempt to commit arson.
 5. Students shall not commit or attempt to commit assault and battery.
 6. Students shall not be disruptive or cause disruption in any vehicle used by the school.
 7. Cheating and plagiarism is strictly prohibited.
 8. The possession of any dangerous weapon or instrument is prohibited.
 9. Destruction of school property or the property of others will not be tolerated.
10. Gambling, or the appearance of, is not permitted on school property.
11. Disobedience to a teacher or staff member will not be tolerated.
12. Disrespectful behavior toward a teacher, staff member, or another student, will not be tolerated.
13. Disruption of a class, or instruction, will not be tolerated.
14. Students shall follow the dress guidelines contained in the Student Handbook.
15. Students shall not commit or attempt to commit extortion, harassment, or intimidation of a teacher, staff member, or another student.
16. The possession, use, distribution, or sale of fireworks or any explosive device is prohibited.
17. Forgery of notes or passes will not be tolerated.
18. Students are not permitted to leave the class or the school without express permission.
19. No loitering on school property including halls and rest rooms.
20. Students shall not lie, deceive, misrepresent, or give a false impression.
21. Misuse or abuse of school property or the property of others will not be tolerated.
22. Students shall not commit or attempt to commit molestation of others.
23. The use of obscene language or gestures is not permitted.
24. Participating in or causing a riot will not be tolerated.
25. The possession, distribution, or display of pornographic material is prohibited.
26. Students shall not manufacture, possess, deliver, distribute, use, or be under the influence of a controlled substance.
27. Refusal to identify or give false identification of oneself is prohibited.
28. Student shall not enter or attempt to enter any restricted area.
29. Sleeping in class is not permitted.
30. Students shall not commit theft or attempt to commit theft.
31. Verbal abuse is prohibited.
32. Sexual harassment is strictly prohibited.
33. Students shall not walk out of class.
34. Any act of violence or threat to commit violence is prohibited.
35. Laser Pointers are prohibited and will be confiscated.
36. The violation of any class rule, school policy, state or local law is prohibited.

Types of Corrective Actions

1. Warning, lowest level of Action, a verbal warning of unacceptable behavior.
2. Oral Admonishment a sterner verbal warning.
3. Oral Reprimand, a formal reproof, parents will be notified at pick-up.
4. Written Reprimand placed in student's record- a written formal reproof placed in student's record for no less then 60 days, parents will receive a copy.
5. Removal from class - student will be removed from class for a period of not less then 30 minutes.
6. In-School Suspension- student will be isolated from class for a period of not less than 3 days, parents will be notified..
7. Out-of-School Suspension- student will be removed from the school for a period of  3 to 10 school days.
8. Expulsion from School - student will be removed from the school permanently. Prepaid tutition/fees shall not be refunded.

     The corrective actions are for the purpose of correcting unacceptable behavior.  The level of action will be determined by the teacher for minor behavior problems.  Severe behavior problems will be referred to the Director, who with the advice of the teacher, will determine the level of action.  Factors that determine the level of action include, but are not limited to; previous records, teacher recommendation, severity of violation, and student's attitude.
